Student Services Coordinator

To provide support services at Eton College to students to assist with their
adjustment to life in Canada and enhance their overall college experience. The
individual in this position has a high level of decision making and authority. Takes
responsibility for one or more of the areas listed below. Consults with the
Campus Director as needed.

More about the position

The student services Coordinator will help to create a friendly and inviting English
speaking environment for our international students and will be responsible for a
combination of some or all of the following:

  • Liaise with national customer service team to follow policies related to
    course adjustments, including adherence to quote requests and change
  • Responsible for advising students on all matters related to their time in
  • Determine activities program by researching options/ prices
  • Plan a variety of appropriate and interesting activities for weekday and
    weekend excursions
  • Manage activities account; incl. money collection
  • Pro-actively seeks out new partners and vendors within the community
  • Offer suggestions and help students plan free-time activities
  • Maintain stock of bus schedules, maps, travel information, etc. to provide
    to students
  • Collect and report of feedback from students (surveys)
  • Advises new and current students in regards to activities
  • Other duties as assigned

Key accountabilities and duties –

Transfer Articulation

  •  Requires a wide range of knowledge of Eton College’s articulation agreements,
    college partnerships and related policies and of provincial transfer pathway
    initiatives. Offers guidance to students currently enrolled in the college programs.
  • Maintains and enhances the database which includes: working with departments to update transfer credits; handling enquiries regarding information in the database; updating the database when necessary to incorporate new technologies, procedures and agreements with other institutions as well as to
    Eton College 706 – 333 Terminal Ave, Vancouver, BC V64 4C1* remove outdated agreements and course equivalencies.
  • Coordinates course evaluations for outgoing Letter of Permission students.
  • Documents related policies and procedures and ensures these receive official
  • Develops relationships with colleagues at other institutions in order to ensure a
    smooth and timely exchange of information.
  • Leads the training of new staff on the transfer credit process and use of the
  • Handles external and internal inquiries and guides staff on responses concerning
    the transfer credit process, procedures, deadlines and related requests for

Student Care and Conduct

  • Provide guidance and advise to students who need appropriate
  • Maintain communication with parents, sponsors and agents about health
    and safety, incidents and problems
  • Develop and maintain confidential student records relative to conduct and
  • Work with Eton College academic team to address issues of academic
    success, including assisting with attendance and academic probation
  • Develop a written emergency response procedure with Eton College and
    campus safety policies to address emergencies, disasters, and
    communication plans with students and staff.
  • Service as a primary point of contact for urgent and emergency student
    safety issues

Student Engagement 

  • Coordinate, promote and deliver the orientation, training and appreciation
    events as a member of the Student Services team
  • Plan trips and activities for students
  • Responsible for risk management and liability issues and student welfare
    on trips
  • Develop and provide social and intercultural programs to engage
  • Deliver welcome receptions and end-of-term celebrations; arrange staff
    and volunteer attendance at social events
  • Track activities budget, maintain profit margin for student services
  • Assist with edits to the Pre-Departure Guide and other Orientation and
    Student Services materials, Create flyers, PowerPoint presentations,
    newsletters, etc. as needed to promote Student Services events or

Student Services 

  • Organize new student orientation. Work with all academic, admissions,
    and finance teams regarding testing, advising, and registration of
    students. Prepare informational materials and orientation sessions to
    ensure a successful transition to Eton College.
  • Collaborate with Marketing & Communication Team to generate marketing
    content from social activities and trips such as photos, videos, student
    quotes, descriptions of student services, etc. as needed
  • Liaise with the Admissions Team to provide a comprehensive PreDeparture Guide for applicants. Work with Regional Managers (where
    appropriate) to develop orientation sessions for incoming students
  • Liaise with Campus Director to maintain updated Student Handbooks
  • Track Student Services intakes and expenditures to maintain profit
  • Coordinate volunteer program, including promotion, recruitment, and
    selection. Allocate volunteer resources to support social programs, trips,
    Orientation events, special programs, conversation programs, and others
    as needed
  • Work with outside vendors to provide resources to students during
    orientation (Cell phone company, catering, etc.)


  • Respond to residence facilities and arrival inquiries from students, parents
    and agents
  • Be the point of contact for questions concerning housing and airport
  • Coordinate housing, arrival and departure logistics, policies, and other
    relevant details
  • Enhance the student experience by customer-focused interaction with
    students and the Eton College welcome desk.
  • Oversee airport greeters including recruitment, selection, training, and


This position is based at Eton College Vancouver Canada.



  • Undergraduate degree or equivalent
  • Demonstrated competent I.T. skills relative to management and analysis
    of data
  • Excellent verbal and written communications skills


  • Knowledge of campus housing and/or higher education sector issues,
    legal issues, etc.
  • Master’s degree preferred
  • Prior supervisory experience
  • Previous work with international students or experience living or working
  • Experience with student programming Experience developing orientation
  • Experience in a start-up business environment with a focus on
    establishing business processes
